About the Position:

The Warehouse Assistant Manager will help manage the full range of warehouse activities, from receiving and storing stock to inventory monitoring, order preparation, and distribution. The role focuses on maintaining organized warehouse operations, ensuring that orders are processed accurately and on time, and supporting the team in meeting established operational standards.

A key part of the position involves overseeing inventory records, monitoring stock quantities and expiry dates, and addressing discrepancies between recorded and actual inventory. The role also includes reviewing operational performance, preparing reports, and ensuring that warehouse activities comply with company policies, established procedures, and applicable requirements.

Given the pharmaceutical setting, candidates must have a bachelor’s degree in Pharmacy and extensive experience managing warehouses within a large, multi-branch pharmacy chain. Previous experience as a Warehouse Manager is also required.

Key Responsibilities:

Warehouse Operations Management:

  • Oversee daily warehouse activities, including receiving incoming stock, organizing storage, managing inventory, and coordinating distribution.
  • Maintain efficient workflows across warehouse operations to support the timely movement and handling of products.
  • Monitor the overall performance of warehouse activities and ensure that operational processes are carried out in an organized and effective manner.
  • Lead the warehouse team in maintaining high operational standards and meeting established requirements.

Team Leadership and Supervision:

  • Supervise pharmacists responsible for preparing orders, ensuring that their activities are coordinated with the wider warehouse workflow.
  • Lead and manage warehouse support staff, providing the direction needed to maintain efficient day-to-day operations.
  • Promote effective teamwork and maintain appropriate coordination among employees involved in warehouse activities.
  • Apply strong leadership and decision-making skills when managing operational priorities and addressing work-related challenges.

Inventory Control and Stock Accuracy:

  • Monitor inventory levels to maintain accurate oversight of available stock.
  • Conduct regular stocktaking activities and compare physical inventory with recorded quantities.
  • Reconcile stock records and investigate or resolve discrepancies when differences arise.
  • Ensure that inventory information remains consistent and that stock movements are properly monitored.
  • Oversee stock rotation practices and monitor expiry dates to support appropriate inventory management.

Order Preparation and Distribution:

  • Ensure that order picking, packing, and dispatch activities are completed accurately and within the required timeframes.
  • Monitor the progress of order processing and identify issues that may affect the efficiency or timely completion of orders.
  • Coordinate warehouse activities to support the smooth handling of orders from preparation through dispatch.
  • Maintain a focus on order accuracy and operational consistency throughout the fulfillment process.

Performance Monitoring and Reporting:

  • Track warehouse productivity and review order processing timelines.
  • Assess operational efficiency and identify areas that may require improvement.
  • Prepare and analyze warehouse performance reports and inventory reports.
  • Use analytical and planning skills to support informed decisions concerning warehouse activities and stock management.

Policies and Operational Compliance:

  • Ensure that warehouse operations comply with company policies and established operating procedures.
  • Maintain adherence to applicable requirements relevant to the warehouse’s activities.
  • Support consistent implementation of operational standards across receiving, storage, inventory management, order preparation, and distribution.

Required Qualifications and Experience:

Candidates applying for this position must meet the following requirements:

  • Educational Qualification: A bachelor’s degree in Pharmacy is mandatory.
  • Warehouse Management Experience: Extensive experience managing warehouse operations within a large pharmacy chain with multiple branches.
  • Previous Management Position: Prior experience working as a Warehouse Manager is required.
  • Inventory Management Knowledge: Strong knowledge of inventory control, stocktaking, stock reconciliation, and general warehouse operations.
  • Team Management: Demonstrated ability to lead, supervise, and manage employees effectively.
  • Leadership and Decision-Making: Strong leadership capabilities, sound decision-making, and the ability to address operational problems.
  • English Communication: Excellent English communication skills, both written and spoken.
  • Organizational and Analytical Skills: Strong organizational abilities, analytical thinking, and effective planning skills.
