Job Opportunity: Administrative Officer
Millennium Farms is looking for a talented Administrative Officer to join our team with the following details:
Key Responsibilities:
- Preparing and Managing Official Correspondence: This includes drafting all internal and external correspondence, archiving, and documenting them in both paper and electronic formats.
- Preparing and Distributing Meeting Minutes: Documenting meeting minutes, distributing them to relevant parties, and following up on related actions.
- Coordinating Between Departments: Facilitating coordination among various departments and presenting outcomes to the General Manager.
- Organizing Meetings and Interviews: Organizing administrative meetings and interviews, and assisting with technological support for virtual meetings like Zoom.
- Preparing Reports and Presentations: Compiling and preparing various reports and presentations as required.
- Receiving and Directing Daily Mail: Receiving daily mail, presenting it to the General Manager, and directing it to the relevant departments.
- Organizing the General Manager’s Appointments: Managing the General Manager’s schedule and ensuring office security by restricting unauthorized access in their absence.
- Tracking Licensing and Permit Procedures: Overseeing the issuance and renewal of various licenses, such as import and occupational licenses.
- Confidential File Management: Storing and managing confidential documents securely, with access control in accordance with company policies.
- Following Up on Transactions with Official Entities: Tracking and ensuring the completion of transactions with official and non-official entities, such as those involving electricity and municipal services. Job Requirements:
- Bachelor’s degree in Management Information Systems, or a related field.
- Proven experience as an Administrative Officer or similar role in the agriculture industry, with a focus on farm operations is highly preferred.
- Excellent communication and interpersonal skills, with the ability to collaborate effectively with cross-functional teams.
- Ability to handle multiple tasks and manage time effectively.
- Organizational and administrative skills.
- Proficiency in English is a must.
- advanced MS Office Skills.
